Week 1 so far: six real renters got a reply from Clara, each approved by a person first (one sent by hand). On three of those six, Situs staff booked the showing themselves. Two of our own bugs kept Clara from hearing renter texts; one is fixed.
"—" means we could not count it. Calls are calls to Clara's Situs line only; Situs's office desk phones are a separate system (see the note under the table). Emails are sorted by sender, a rough rule. Test traffic (our engineers and Hugo's test calls) is shown apart or left out.

New leads: people seen for the first time. "Staff-typed" = a card a teammate typed in. "Feed" = made by AppFolio or a listing site. Stepped in: threads where staff wrote or booked after Clara spoke, drafts a person rejected, and messages we sent by hand. Open: Clara drafts waiting for approval.
Office desk phones (Crexendo): only Thursday Oct 29 has been pulled so far. 29 calls, 18 reached a person, 17 recorded, 7 callers gave up at the menu. Details on the office calls page.
Situs has not forwarded its main number to Clara yet, so almost every call so far is a test. The first three real callers were a resident about parking, a prospect whose call never connected, and an unknown 855 number.

"What they wanted" is the phone system's own call summary. When Clara rings on-call staff for an emergency, those calls show inside the caller's row, not as separate calls.
Fede asked for a re-read of the whole leasing touring design against what is built, Situs as the lens, critical only. Read-only; nothing built. Shared pool, host-on-the-offer and host-named AppFolio showings are live. What is missing is everything after the booking. Independently verified Nov 2 (second Opus pass, 13 claims): all five gaps stand; corrections are marked below.
| # | Gap | What a renter or agent feels | Type |
|---|---|---|---|
| 1 | Nothing reacts after booking: staff moves in AppFolio never reach Clara; a host turning busy is detected and told to no one | Nov 2: Stephany M. got the "see you at 2" reminder after the noon check found Deiby busy (code: "No one is emailed from here"). Corrected: Situs called her at 1:08 (voicemail full), she texted at 1:11 asking to move to 3:00, Lee answered her by text at 1:14 and moved the showing in AppFolio; Clara never answered her 1:11 text; our record fixed by hand at 1:29. Oct 30: staff booked Deyci S. at 3:30 while Clara offered 1:30/1:45 | Design gap (designs 17.12 "engine re-hosts" never built; inbound direction never designed) |
| 2 | The host is not really told: no host has a phone on file, team email names no host; under Supervised the team notice waits for approval (Patricia R.: 16 min) | Agents learn of tours from a silent calendar event and the AppFolio assignment | Partial build + customer ask (phones, texting consent) |
| 3 | Offer and booking pick the host differently; phone bookings always re-pick (all 4 Situs bookings were phone). If Lee drops off the 3-name list Situs silently becomes the two-host rule that bit Western Slope | "That time is not available" after Clara offered it. 0 at Situs so far, 2 at Western Slope (Amy R., Oct 30 5:00 and Nov 1 3:30). Corrected: reschedule and change-host do NOT re-pick; the automatic email booking flow books with no drive check at all | Defect; fix needs Fairhaven 2-host and 3-host lists first (Fairhaven and Willows both list 0 tour-givers) |
| 4 | Shared pool went live Oct 31 on a replay, without the proof-of-concept checklist: Lee is not bookable (the "28 of 56 showings" figure appears only on the handoff page and could not be traced to data), Miriam is a full host though Eileen asked "only when necessary", Spanish routing not read | Wrong agent on tours once Lee connects a calendar | Design gap |
| 5 | Supervised holds the message but not the booking: tour, calendar event and AppFolio showing are written at once; a held message can expire unsent with the tour still booked | Booked tour the renter was never told about | Defect vs the Oct 23 ruling (from code; not yet seen live). Note: Stephany's Nov 2 messages were not held at all, so whether Situs was still Supervised on Nov 2 is unknown |
Also found: Clara double-replied to a duplicated inbound 4 times before Amy R. in 60 days (Camellia 1, Western Slope 3), 0 at Situs. Suggested sequence: gap 1 first, ask Situs for host phones and tour hours in parallel, finish gap 4's checklist before Lee connects a calendar, fold gap 5 in. Unverified: whether AppFolio copies staff showings onto Deiby's and Miriam's Google calendars (if yes, gap 1 narrows to record drift after a move).
| Topic | What we saw | What we propose to discuss | Status |
|---|---|---|---|
| Replying from personal Gmail | Courtney answers leads and the team from her own Gmail; those never reach leasing@, so Clara cannot see them. | Reply from leasing@, or copy it. | not yet raised |
| Phone bookings Clara cannot see | Deyci booked by phone at 3:30 while Clara offered 1:30 and 1:45; Jose booked by Deiby while Clara wrote. | When a teammate books, book it in AppFolio right away (they already do) and we read it; agree who answers a lead first. | not yet raised |
| Desk lines cannot text | Crexendo has no texting numbers; staff alerts go by email. | Register texting on Crexendo, or give personal cells with consent. | not yet raised |
| Showing hours | Never stated; Clara offers 9–5 every day, weekends included. | Which days and hours can a renter tour? | not yet raised |
| Hand-typed cards with no message | Most TurboTenant and AffordableHousing leads arrive typed in by staff, with no renter words, so Clara stays silent. | Paste the renter's message into the card, or let Clara read those emails directly. | not yet raised |
| Calendar blocks that are not real | Deiby's 3–4 PM block on Oct 30 kept Clara from offering a time Deiby then offered herself. | Keep calendars true, or mark "can be moved" blocks. | not yet raised |
| Voucher holders and housing navigators | A navigator wrote for a client; an RFTA form came in by email. | How does the office handle these today, and who owns them? | not yet raised |
| Clara's AppFolio login | Clara's login was not recorded on the company connection, so her texts were filed as a teammate's. | Confirm the "Clara AI" user is the one Clara writes as. | not yet raised |
| Main number forwarding | Seven office callers gave up at the menu on Oct 29; Clara's line has had almost no real calls. | When to forward the main line or the menu's dead ends to Clara. | not yet raised |
| Oct 31 (Denver evening Oct 30) | Guest cards now created automatically for TurboTenant, AffordableHousing and website-form leads (proven at Willows). | Fede decided Clara's first email will send on its own at Situs once the Opus first-email upgrade is live, with texts and later replies still reviewed. | decided |
Refresh (read-only on production; prints the two tables, --write puts them in this page, --upload copies new call recordings to the docs storage):
cd ~/.claude/propflow-docs && bin/situs-launch-log-counts --write --upload && node build.mjs, then commit this page and push.
Sources: production records for the Situs company (conversations and their messages, prospect rows, held drafts, Clara's text outbox), the leasing@ Gmail mailbox (headers only), the phone system's call records, the #situs-group and alerts Slack channels, and session 003's lead-watch notes.
Counting rules: days are Denver calendar days. Test traffic = calls from four known engineering and owner phones, and the test personas "Michael Jordan" and "John Doe". "Sent" emails = Clara's sends plus any sent by us by hand. Texts = Clara's AppFolio texting seat plus her own line. Email classes: @thesitusgroup.com = staff; listing sites = lead notices; mailing lists, no-reply and known vendors = vendor/auto; everyone else = people.
