Clara at Western Slope DRAFT
Prepared for Jay Taylor and Jason Fish, Western Slope Property Management · September 2026 · about 250 doors across Grand Junction, Fruita, Clifton and Ridgway
The short version. Clara answers every lead within a minute, any hour, in English or Spanish, from your own leasing address, books tours on your calendar, and chases the applicants who go quiet. We start with leasing on one property, prove it in two weeks, then open the whole book. You said you like to try things early. This is the first version of a portfolio line built for a team that runs everything from one number and one inbox, and you shape it.
What we run, in order
| Phase | What Clara does | Starts |
| 1 · Leasing | Answers every guest card and lead email within a minute, from leasing@westernslopepm.com. Texts from a Grand Junction number. Asks the right questions, offers only homes that are on your listings, points a caller to a nearby alternative when the one they asked about is gone. Books tours on the calendar you name. Follows up with quiet applicants on a schedule. Hands anything unusual to a person. | first property within two weeks of access |
| 1b · After-hours line (included) | A phone line that answers when your tree does not: asks which property, takes leasing and maintenance calls, screens for emergencies, takes a clean message with a read-back. No transfers in the first version. You forward after-hours and no-answer calls to it when you are ready. | same window, your call when to forward |
| 2 · Maintenance | Requests taken 24/7 by phone and text, logged in AppFolio, routed by trade, residents kept updated. Emergencies go to your on-call number. | after leasing is live; needs read-only AppFolio API |
| 3 · Renewals | Every expiring lease priced from your rules behind a rent floor, offers on schedule, follow-up until signed. | after a renewal-policy session; needs API or Plus |

How we measure it
| Metric | Today | Target, day 30 | From |
| Time to first reply on a new lead, median | measured in week one from your guest cards | under 2 minutes, any hour | Clara's log |
| Leads that arrive after hours and get answered the same evening | — | all of them | Clara's log |
| Tours booked without a person touching the thread | — | most | your calendar |
| Applicants followed up within 24 hours of going quiet | — | all of them | Clara's log |
We size the money after 30 days of your own data, not before.
