Clara replied to all 65 renters who reached her. The other 7 applied directly or only reached AppFolio. 18 booked a tour, and among people who reached Clara at least two weeks ago, about 4 in 10 booked within 14 days. Where leads slip is after the first reply.
Team only · Sept 18 to Oct 13, 2026 (cut at 2:00 PM Mountain) · every number below says what it counts
A renter is counted once, from their first ever inquiry. Test lines, vendors, a job seeker and listing spam are left out (9 people).
From first contact to a signed lease
Each person sits in exactly one group.
| Group | People | What it means |
|---|---|---|
| Booked a tour | 18 | Ever booked. 2 cancelled every booking. 1 recorded no-show, 0 recorded as attended. |
| Applied, no tour | 3 | Applied straight in AppFolio. |
| Talking, no tour | 27 | They wrote back or called, then didn't book. |
| Waiting on them | 20 | We replied, they never answered. |
| No reply from us | 4 | Guest cards that exist only in AppFolio. Staff touched all 4 there, so this is the most it could be. |
Everyone gets the same amount of time to book, so brand-new leads don't drag the rate down.
7 days: 12 to 13 of 53 people. 14 days: 11 to 12 of 34. To date: 18 of 72. The lighter end of a bar is a range, because one booking has no date.
Counting only the 65 people who reached Clara, every tour is still in, so the rates go up. 7 days: 12 to 13 of 46 (26 to 28%). 14 days: 11 to 12 of 29 (38 to 41%). To date: 18 of 65.

| Got a reply | 65 | All 65 first replies came from Clara. 21 were Clara answering the call live. |

"Sent" means our mail provider accepted it. We can't see whether it landed in the inbox.
Automatic email replies, time to first reply
6 automatic emails took over an hour, one of them 2 days. We haven't found why yet. Timed from when our system recorded the inquiry.
No real difference in booking: within 7 days, 3 of 14 after-hours leads booked against 9 to 10 of 39 business-hours leads. Emails sent automatically after hours went out in a median 2.6 minutes.
We read every one of these conversations and gave each person one main reason.

Side by side, from AppFolio. Activity, vacancy and season are counts. Tour rate compares the same kind of lead, counted the same way, both years.

About 5x the vacancies of a year ago on Sept 18, and 7.5x on Oct 13. 80 units were added to AppFolio since last year, 49 of them in Aug–Sep 2026, and 58 of today's 75 vacancies are those new units.
Past vacancy is AppFolio's rent roll looked at after the fact, so the status labels are approximate.

Last year about 36% of non-phone leads booked a tour within a week, against about 27% this year. The groups are small and last year's leads were mostly cards staff entered by hand, so this isn't a reliable drop, but it isn't a gain either.

A list of cold leads for Kat and Bev, weekly by default with a setting for how often. Then we measure whether it moves anyone.
Each number on this page says what it counts and out of how many.
How many people reached out since we went live?
72 renters, across 91 inquiries, from Sept 18 to Oct 13.
How many did we reply to?
All 65 who reached Clara. The other 7 of the 72 applied directly in AppFolio or only reached AppFolio. Calls were answered live, and automatic emails went out in a median of about 2 minutes.
How many turned into tours?
18, and all of them came from the 65 who reached Clara. Of those 65, 26 to 28% booked within 7 days and 38 to 41% within 14 days, about 4 in 10. Counting all 72, it's 23 to 25% and 32 to 35%.
How many are still waiting on the prospect?
20 never wrote back after our reply. Another 27 wrote back or called but haven't booked.
How many applied or signed?
6 applied, 2 were approved and 1 signed.
How does that compare to the same weeks last year?
Last year about 36% of non-phone leads booked a tour within a week, against about 27% this year. The groups are small and last year's leads were mostly cards staff entered by hand, so this isn't a reliable drop, but it isn't a gain either. See Year over year, Tour rate.
Is it seasonal?
Yes. Last September was the busiest month of the year, and October dropped off. See Year over year, Season.
Why aren't showings keeping up?
Western Slope has 75 vacant units today against 10 a year ago. AppFolio shows 15 to 24 showings in these weeks, against 15 to 19 last year, so there's far more to fill with a similar number of showings. Most new vacancies are units added since last September.
Why do people stop before booking?
Most often they wanted a person, a call ended, they went quiet after being offered tour times, or the price was above their budget.
Would a call list for Kat and Bev help?
We think so, but there's no proof yet because nothing records whether staff called a lead. We'd send it weekly by default, with a setting for how often, and measure it.
How does Clara know who Kat or Bev already reached?
They tap Reached, Booked, Not interested or No answer next to each name, and Clara stops or keeps following up from that. She never reads their notes.
How will we know it worked?
We track the same 7 and 14 day tour rate every month, and whether people on the list book within 14 days.
