Your leasing inbox, after Clara
Prepared for Jason Fish, Kat Barker and Bev Bachiller, Western Slope Property Management · September 22, 2026 · based on every message in leasing@westernslopepm.com from January 1 to September 22, 2026
The short version. Your leasing inbox received 10,887 messages this year, about 57 every business day. Clara now takes everything prospect-related, which is 36% of it: every Zillow and Apartments.com lead, every website inquiry, every direct email from a prospect, and every Zillow listing alert. Another 40% is bills, vendor invoices, marketing and phone-system notices that belong in folders, not in front of Kat and Bev. What is left for the team to read is 24%, about 14 messages a day. We can do the filing for you with the access you already gave us, and keep it filed. Nothing has been moved yet.
What is in the inbox today
| Kind of mail | Messages this year | Share |
| Prospect inquiries: Zillow conversations, Zillow Rentals, Apartments.com, website form, direct email | 1,768 | 16% |
| Zillow listing alerts: saved-search matches, digests, market updates, "confirm your listing", daily reports | 2,171 | 20% |
| Utility bills and payment confirmations: City of Grand Junction, Clifton Water, Republic Services, Xpress Bill Pay, Xcel, InvoiceCloud and six others | 2,002 | 18% |
| Vendor invoices and receipts: Peachtree Lumber, True Value, Amazon Business, Home Depot, QuickBooks and others | 889 | 8% |
| AppFolio notices: lease signatures, move-out requests, accounting, system mail | 1,008 | 9% |
| Marketing and promotions: Walgreens, Birdeye, Canva, CNN, Shopify, Adobe and others | 751 | 7% |
| Your own team's mail, including 360 forwarded invoices and work orders | 704 | 6% |
| RingCentral voicemail and missed-call emails | 627 | 6% |
| Screening: pet policy, tenant screening, parking permits | 459 | 4% |
| Resident mail | 198 | 2% |
| Clara's copies and requests | 135 | 1% |
| Everything else | 253 | 2% |
Three things stood out. The inbox is growing: June had 39% more mail than February. More than a third of it arrives on weekends or outside 8am to 6pm, so Mondays start with a pile. And the Inbox folder holds 38,447 messages going back years with a single one unread, which means the unread count no longer tells anyone what is new.
Where each kind of mail goes now
| Goes to | Messages a year | What happens |
| Clara | 3,939 | Every prospect inquiry and every Zillow listing alert. Clara replies, books the tour, and writes the guest card in AppFolio. Kat and Bev do not need to open these; the guest card shows what Clara did. |
| Accounting folder | 2,891 | Utility bills, vendor invoices and receipts. Nothing is deleted; whoever pays bills checks the folder weekly. |
| Marketing folder | 805 | Promotions and newsletters. We unsubscribe where the sender allows it and file the rest. |
| Phone folder | 627 | RingCentral emails. Better still, turn the emails off in RingCentral and keep the app notifications; Clara already handles missed calls. |
| Your inbox | 2,576 | Lease signatures, move-out requests, screening results, resident mail, your team's own mail, and the messages where Clara needs a person. |
How Clara will reach you when she needs a person
Since go-live Clara has sent 8 "needs a human" emails. In a month with 1,140 messages they are easy to miss, which is the concern Jason raised. Two changes fix it: Clara's requests get a fixed subject line, "ACTION NEEDED from Clara", and high importance, so they stand out and can be flagged with one rule. And, as agreed on the call, Clara will text Kat directly for hand-offs, so nothing she needs from you depends on the inbox at all.
What we will do, and what we need from you
| Step | Who | What |
| 1 | You | Say yes to the folder plan above (Accounting, Marketing, Phone). Tell us if you want different names. |
| 2 | PropFlow | Create the folders and file the whole backlog, all 38,447 messages, in one pass. It is reversible. |
| 3 | PropFlow | Keep new mail filed automatically, every few minutes, using the same access. No rules for you to maintain. If you would rather own the rules yourself, Kat can add one rule per folder in Outlook on the web in about ten minutes; we will send the exact list. |
| 4 | You | In RingCentral, turn off email notifications for the leasing line and keep the app notifications. |
| 5 | You | Kat and Bev leave prospect mail to Clara and work from the guest cards. |
We will not move anything until you say yes.
Coming next: vendors, bills and invoices
The same inbox shows the next thing Clara can take off your plate. 2,891 bills and invoices arrived this year from 30 senders, plus 360 invoices and work orders your team forwarded, all handled by hand. Early ideas we would like to build with you:
- Invoice capture: Clara reads every bill and vendor invoice as it lands, pulls the vendor, amount, property and due date, and logs it, so nothing is typed twice or missed.
- Cost tracking: invoices matched to the work order they belong to, so you see what each repair or unit turn actually cost.
- Work approvals: when a vendor quote arrives, Clara texts the right person for a yes or no, records the answer, and tells the vendor.
- Purchase orders: a numbered purchase order from an approved quote, matched against the invoice when it arrives, with mismatches flagged.
- Vendor follow-up: chasing missing invoices and lien waivers, and answering "where is my payment" from AppFolio's bill status.
None of this is built yet. If any of it would help, tell us which one first.
