Sales Machine — session handoff

12 August 2026 · the state of the work, for picking it back up.

Shipped and live today

All live at docs.propflowai.co/a/sales-machine-console — hard refresh.

Cut the console to the bone.

No date line, no Roadmap tab; the proposal and case study trimmed to what matters; the whole uncontacted list promoted to a one-click table.

Case study now leads with eleven outcome tiles.

Conversations and their results, not just phone calls — including 188 reminders and follow-ups the system sent, counted straight from the live product. Every figure checked against the measurement sheet.

An independent quality pass, then the fixes.

A review found 99 real problems; we fixed 90+ — a broken card layout, duplicate companies, mislabelled data, and internal notes that didn't belong in front of a client.

The board actually behaves like a board.

Cards drag between columns, every company opens on click, and the confusing "tier" labels are replaced with plain words and a simple ✓ for the sizes we've verified.

Twelve UX ideas, ranked.

Deep research — done and folded in

Every company researched, and the results are now in the database.

The blanks you flagged are filling in: software known jumped from 87 to 231 companies, named companies from 374 to 472, and ~197 real unit counts added. Decision-makers and building-class notes are saved for the ranking rework. The live console already shows it.

Second pass done — unidentified down to 42

The stragglers pass resolved 54 of the 103.

Unidentified companies went from 140 at the start of the day to 42. The last 42 are the genuinely hard ones — a bare contact name with no company, or a name that turns out to be a software vendor, not a building owner.

The big decision — how we rank prospects

Full page: /a/sales-machine-ranking. Your call, 12 Aug — weights still to settle with Sean.

Who runs the buildings — now #1.

Self-managing owners first.

Size — smaller operators first.

A flip from the old "2,000–5,000 units" target.

Software = which system, not "gap."

AppFolio best (our strongest fit), Yardi next, and RealPage marked down because they turned down our integration.

Still to argue with Sean.

Whether to keep "one person can say yes," and building class — which matters but is our weakest data unless we pay for a feed.

Waiting on you and the founders

Lock the ranking factors with Sean (and the class-data question).
One objection has no answer — "my renewals are special/unique." Sean or you need to supply it.
Connect Granola to unlock the KAGE call transcript (needs a paid plan; a Trello card is waiting).
Case study sign-offs — your OK on the numbers, JP-Co's OK on using their property's name and figures.
Proposal tracking go-live, recording-consent policy, pilot pricing.

Half-baked — started, not finished

Email ingest isn't built — and it's already costing us.

The email you were cc'd on with Hugo did not reach the platform and did not move the lead, because nothing watches the inbox yet. This is the biggest missing piece: it's what keeps the board true without anyone touching it. I can pull that one email in by hand if you want the lead moved now.

The ranking on the page is the old model.

It still scores the way you've decided to stop scoring (software "gap," the 2,000–5,000 band). So the order and points shown are a placeholder until we lock the new factors with Sean.

The list isn't in Sean's order yet.

Your call — start it sorted the way Sean's sheet already is, not by our unlocked ranking. Noted, not done.

Dragging a card doesn't really save.

It moves and sticks in your browser, but the move never becomes real data. The "saves for real" version is the app build.

We collected more than we show.

Decision-makers for 404 companies, building-class for 357, and competitive notes (who already runs a rival tool) are all captured in files but shown nowhere on the page yet.

Case study can't be sent yet.

The internal warning is off the page, but the two sign-offs (your numbers, JP-Co's permission) still aren't in hand.
